For our international client we are looking for a proactive and detail-oriented Logistics Maintenance Coordinator to manage ongoing logistics maintenance and provide rapid response to site- and sponsor-reported logistics issues. In this role, you will be responsible for overseeing the resolution of logistics investigation tickets, addressing supply issues, coordinating courier responses, and arranging one-off pickups for special shipment needs. This position will work closely with logistics vendors, internal teams, and sponsors to ensure seamless and compliant delivery of supplies and materials.

Responsibilities:

1.     Logistics Investigation & Issue Resolution:

o  Monitor and follow up on open logistics investigation tickets, ensuring timely responses and solutions.

o  Serve as the primary contact for courier-related issues reported by sites or sponsors, such as failed pickups, missing dry ice at sites, or missing courier paperwork required for site shipments.

2.     Supply Management & Issue Tracking:

o  Address supply issues reported by sites, including handling cases of wrong or missing items.

o  Coordinate with supply chain and procurement teams to rectify supply discrepancies and ensure sites receive the correct items.

3.     Courier Coordination:

o  Work with courier partners to resolve issues and facilitate successful site pickups, ensuring all required paperwork and materials are in place for smooth operations.

o  Escalate and address cases where sites are unable to book pickups due to courier paperwork or scheduling challenges.

4.     One-off Pickup Arrangements:

o  Arrange ad hoc pickups as needed for sponsor-provided or third-party logistics (3PL) materials, as well as non-standard sample shipments.

o  Liaise with internal teams and couriers to ensure compliance with any special handling requirements for these shipments.


Qualifications:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business, or a related field (or equivalent experience).
  • 2+ years of experience in logistics coordination, troubleshooting, or maintenance support.
  • Strong understanding of courier services, logistics ticketing systems, and issue resolution processes.
  • Excellent problem-solving skills with a keen attention to detail.
  • Effective communication skills to collaborate with internal teams, couriers, and external sponsors.

Preferred Qualifications:

  • Previous experience in logistics for clinical trials, research studies, or regulated environments.
  • Familiarity with cold chain logistics and the handling of sensitive shipments.
  • Proficiency in logistics software, ticketing systems, and basic inventory management tools.
