For our international client we are looking for a Logistics Coordinator – SetUp . This role involves coordinating, supporting, and performing logistics and administrative tasks to ensure the smooth operation of our logistics study setup. The ideal candidate will provide high-level support, service, reliability, and availability to internal departments, ensuring efficient and effective operations.


Location: Zaventem - remotely

Job Type: Full-time/Temporary to perm


Responsibilities:

  • Coordinate and support daily logistics and administrative tasks.
  • Ensure timely preparation and provision of import permit documents to Sponsors/CROs and Importers of Record.
  • Oversee logistics setup for 75+ studies, ensuring all logistics aspects are considered during the setup phase.
  • Monitor and maintain logistics setups, implementing changes as required.
  • Interact daily with clients/CROs to prepare proforma invoices for import permits and approvals, ensuring accurate shipment of orders and samples.
  • Maintain Manufacture List, courier contact sheets, and special account setups.
  • Attend internal study protocol meetings, reporting on supply and courier setup requirements.
  • Support site services logistics coordinators.
  • Coordinate the review and action required on custom reports.
  • Investigate and resolve Quality Events, including delayed or missing shipments and courier failures.

Knowledge, Skills, and Abilities:

  • Excellent client and phone service skills.
  • Knowledge of Good Clinical Practices and laboratory principles, including pre-analytical, analytic, and post-analytic influences on specimens and results.
  • Intermediate level of computer literacy.
  • Accurate data entry skills.
  • Superior analytical, interpersonal, and time management skills.
  • Excellent verbal communication and customer service skills in English; additional languages are an advantage.
  • Critical thinking and problem-solving skills to support quality decision-making.
  • Proven negotiation and problem resolution skills.
  • Ability to maintain confidentiality of client protocols and study data.


Reporting Line:

  • Reports to Team Lead Site Services or above.


Qualifications:

  • Proven experience in logistics coordination, preferably within a clinical or laboratory setting.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
